Insurance Clients
If you use commercial insurance or Medicare:
You are responsible for your copay, coinsurance, and any unmet deductible.
Insurance does not cover missed or late-canceled sessions.
A valid credit/debit or HSA/FSA card is required on file for all client-responsibility charges.
Payment
Payment is due at the time of service, every time. A card on file is required and may be used for:
Copays, coinsurance, and deductibles
Late cancellations
No-shows
Please keep your payment information current to avoid interruptions in scheduling.
Cancellation & No-Show Policy
Your session time is reserved specifically for you. A minimum of 24 hours’ notice is required to cancel or reschedule.
Late cancellation (<24 hrs): $75
No-show: $100
These fees cannot be billed to insurance.
Emergency Exceptions
Fees may be waived for true emergencies such as sudden illness, hospitalization, or safety-related crises. Work conflicts, transportation issues, oversleeping, or scheduling mistakes are not considered emergencies.
Recurring Appointments
Two or more late cancellations or no-shows within three months may result in the release of your standing appointment time.
Outstanding Balances
Any balance determined by your insurance plan is your responsibility and will be charged to your card on file. Unpaid balances may temporarily pause scheduling.
Superbills
Private-pay clients may request a superbill for possible out-of-network reimbursement. Reimbursement is not guaranteed and is paid directly to you by your insurance company.
By participating in services, you agree to these financial policies and to maintain an active payment method on file.
These policies aren’t about rigid rules. They exist to create a steady, reliable structure that allows therapy to remain consistent and accessible. Honoring session times and financial agreements helps keep the practice running smoothly, ensures fairness for all clients, and supports the continuity of your care and the care of others in the community.
